Why You Should Switch From Paper And Spreadsheets To Timesheet Apps
If you’re still using paper and spreadsheets to manually manage your employees’ attendance, then now is the time to upgrade. Paper and spreadsheets have been effective for this purpose for many years and they still work well when you run a very small business and are at your company all day every day to check up on employees. But if you want to scale your business and improve both attendance and productivity then you must switch to timesheet apps immediately.
Timesheet apps offer many more benefits when compared to the outdated paper and spreadsheet methods. I have discussed what these are below…
No time fraud:
When you run a really small business where you have less than 10 employees it is easy to keep track of the employees clocking in and clocking out. You can write the timings on a sheet of paper and it will be easy for you to recollect if an employee was absent.
But what happens when the number of people employees increases or if you yourself are absent. It will make it harder for you to keep track of employee attendance.
You will need to either hire someone to do this for you or you will need to get the employees to do this by themselves. And this will lead to buddy punching, where absent employees will get their friends to clock in and clock out for them when they don’t come to work (or if they are late). And they will probably get away with it as it will be hard for you to memorise the attendance of all those employees. This is actually a very common problem and it cost businesses $373 million dollars a year.
But if you use a timesheet app you will avoid this problem completely as employees will need to clock themselves in and out using the app on their phone. When they do this the app will stamp their location and use the facial recognition feature to make sure the correct individual is only taking the action and not their friend or colleague.
It will also save money as you won’t need to hire a separate person to take care of this task.
No loss of data:
There’s always the possibility that you will lose past employee data when you use a paper or book to track attendance. It could get lost or get wet. You face the same problem when you use spreadsheets as well, as your hardware could malfunction. But when you use a timesheet app you don’t need to worry about the loss of data as all the information will be stored online. Even if you delete it by mistake, it will be backed up in the software’s cloud and can easily be restored.
And you can easily analyse all this data to see how many hours your employees are spending at work and how many hours they spend taking breaks.
No need to waste time calculating:
When you manually add in your employees’ timings, you will also need to spend a lot of time manually calculating their weekly or monthly wages.
But if you use an advanced timesheet app, you can set custom pay rates for each employee and it will automatically take in overtime, penalty rates and more details according to the local laws and calculate how much you need to pay each employee.
If you are finding it hard to find a tool that can help you with this, you should visit Deputy for their timesheet app. It will help with both, tracking attendance and wage calculation. You can also use it to export your timesheet into your payroll software.
A good timesheet app will also let you create custom reports which will help you check how productive and punctual your employees are. This will help you manage them better. It will also tell you if your employees are taking sufficient breaks while at work. You can even set the app to alert you if an employee missed a break or took a short one.
As you can see, timesheet apps offer several benefits that spreadsheets and paper don’t. So, go ahead an invest in one today. It might seem like a waste of money, especially if you are running a small business. But it will save you a lot of money in the long run as it will take a lot of time off your hands.
